Ring Keep

Privacy Policy

Last updated: November 5, 2026

Ring Keep (“we”, “us”) provides an AI phone receptionist for small businesses. This policy explains what data we process, why, and the choices you have. It covers our website and dashboard (the “Service”) and the calls our receptionist answers on behalf of our business customers.

Data we collect

  • Account data: your name, email address and a hashed password, plus the business you create (name, address, phone, hours, services, FAQ, time zone).
  • Call data: when someone calls a business that uses Ring Keep, we process the caller’s phone number, the audio of the call, a transcript, an automatic summary, and the details the caller chooses to give (name, callback number, request, appointment).
  • Google Calendar data (only if you connect it): see “Google user data” below.
  • Technical data: IP address (for security and rate limiting), session cookies, and a language preference cookie.

How we use it

  • To answer calls, take messages and book appointments for the business that uses Ring Keep.
  • To show calls, leads and appointments in that business’s dashboard and email its owners a call summary.
  • To run your account: sign-in, email verification, password reset, security and abuse prevention.

We do not sell personal data and we do not use it for advertising.

Call recording

Calls answered by Ring Keep may be recorded and transcribed. The receptionist says so at the start of each call. Each business using Ring Keep is responsible for its own compliance with call-recording and consent laws.

Google user data

If a business connects its Google Calendar, Ring Keep requests only two permissions:

  • Free/busy information (calendar.freebusy): we read only when you are busy, never the title or content of your events, so the receptionist never offers a slot when you are unavailable.
  • Events created by Ring Keep (calendar.events.owned): we add, move and delete only the appointments booked through Ring Keep. We cannot see your other events.

Google access tokens are stored encrypted and are used only to provide these features. You can disconnect at any time from the Calendar page, which revokes our access. Ring Keep’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, we do not use it to train AI models, and humans do not read it except with your permission, for security, or to comply with the law.

Service providers

We share data only with the providers that run the Service for us:

  • Retell AI (voice agent, telephony, transcription and the language models it uses)
  • Vercel (hosting) and Neon (database), in the United States
  • Resend (transactional emails)
  • Google (calendar connection, if you enable it)

Retention and deletion

We keep account and call data while the business account is active. You can ask us to delete your account and its data at any time by writing to us; we delete it within 30 days, except where the law requires us to keep it.

Your rights

You can access, correct or delete your data, and object to its processing. California residents have the rights provided by the CCPA/CPRA, including the right to know and to delete. To exercise them, contact us.

Children

The Service is for businesses and is not directed to children under 13.
